Planofy is operated by Nightcity Innovations LLC. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have over it. By using Planofy, you agree to the practices described here.
1. Who This Applies To
This policy applies to two types of people:
- Contractors — professionals who create accounts and use Planofy to generate and send estimates.
- Clients — individuals who receive, review, and sign estimates through Planofy share links without creating an account.
2. Information We Collect
From Contractors
- Name, email address, and company name (via account registration or Google Sign-In)
- Architectural plan documents (PDFs) you upload for estimating
- Estimate data: line items, quantities, prices, project details, and notes
- Your clients' names and email addresses, as you enter them to send estimates
- Subscription and billing status (managed through Stripe — we do not store card numbers)
From Clients (when reviewing or signing an estimate)
- Name and email address (as provided by the contractor or entered when signing)
- Signature, stored with the signed estimate
- Signing timestamp and technical details used to create an audit trail
Automatically Collected
- Estimate lifecycle events: created, edited, sent, viewed, signed (with timestamps)
- Authentication cookies set by Supabase for session management
- Basic diagnostics (errors, performance timing) used to operate the service
3. AI Processing of Your Documents
To generate estimates, Planofysends your uploaded plan documents and the resulting estimate data to Anthropic, our AI provider, via their API. This processing is what produces the draft line items, quantities, and pricing suggestions you see in the app. Anthropic processes this data to provide the service under their commercial API terms; per those terms, API inputs and outputs are not used to train Anthropic's models.
4. How We Use Your Information
- To provide and operate the Planofy service, including AI estimate generation
- To send estimates and signing links to your clients on your behalf
- To email signed estimate PDFs to you and your client
- To send transactional emails (account notifications, billing receipts)
- To enforce trial and subscription limits and process payments through Stripe
- To maintain an audit trail for signed estimates
- To improve the service and diagnose technical issues
We do not sell your data. We do not use your data for advertising.
5. Third-Party Services
We share data with the following service providers only as needed to operate Planofy:
- Supabase — database, authentication, and file storage (uploaded plans, estimate data)
- Anthropic— AI processing of uploaded plan documents and estimate generation. Plans and estimate data are sent to Anthropic's API for processing.
- Stripe— subscription billing and payment processing. Stripe's privacy policy governs payment data.
- Resend — transactional email delivery (estimate emails, signed PDFs, notifications)
- Vercel — hosting and infrastructure
Each provider processes data only as necessary to provide their service. We do not share your data with any other third party without your explicit consent. We do not sell your personal information to anyone, ever.
6. Client Data and Contractor Responsibility
When contractors use Planofy, they enter personal information about their clients (name, email) into the platform. In this context:
- The contractor is the data controller — they determine what client data is collected and why.
- Planofy (Nightcity Innovations LLC) acts as a data processor— we process that data only on the contractor's behalf and under their instruction.
Contractors are responsible for ensuring they have an appropriate legal basis to share their clients' personal information with Planofy (for example, by informing clients that estimates are managed through this platform).
7. Data Retention
- Contractor account data is retained as long as the account is active.
- Uploaded plans and estimates are retained while your account is active so you can reference past projects.
- Signed estimates are retained to preserve the legal record of the signature.
- If you close your account, you may request deletion of your data by contacting us. Signed estimates may be retained in anonymized form to comply with audit and legal requirements.
8. Your Rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal retention requirements)
- Opt out of marketing communications
California residents (CCPA): You have the right to know what personal information we collect, request deletion, and opt out of sale. We do not sell personal information.

9. Security
We use industry-standard security practices including row-level access controls (each contractor can only access their own data), encrypted connections (HTTPS), and authentication tokens with limited validity windows. No system is perfectly secure, but we take reasonable measures to protect your information.
10. Children
Planofy is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify contractors by email or by posting a notice in the app. The "Effective" date at the top will always reflect the most recent version.
